Student Association Speaker & Event Approval Process

If you are hosting an event and would like to invite an outside speaker or student, you must obtain speaker approval from Dean Madrian and sometimes the university depending on the type of event, the audience, and the speaker. You must obtain approval before inviting someone to speak.

Please allow 3–4 weeks for final approval and up to 3 business days for a response indicating receipt of the request.

Obtaining Speaker Approval

  1. Advisor Speaker & Event Approval
    • The student association gets speaker and event approved by the club advisor.
  2. Speaker Review
    • The student association submits speaker information to the deans office through the speaker review request link located in the Marriott Tools or by clicking the following link: https://marriott.byu.edu/help/speaker-approval.
    • Please allow 1-2 weeks for speaker approval.
    • Once the speaker has been reviewed, the student association will receive an email with the submission form attached letting them know the first-round of vetting has been completed and the event can be submitted through the club portal for approval.
  3. Event Submission
    • The student association submits the event and all details into the BYU Clubs website and attaches the speaker review document they received from the deans office.
  4. Approver Event Review
    • The BYU Marriott Student Association Approver reviews all details of the event submission, makes sure speaker review document is attached, and forwards it on to the dean.
  5. Dean’s Event Approval
    • Dean Madrian approves the event in the BYU Clubs website.
  6. Approver’s Final Event Approval
    • The student association receives final event approval in the BYU Clubs website.

Obtain Student Association Advisor Approval if…

  • The speaker is a current BYU faculty/staff member. Faculty/staff is approved by nature of their employment. No speaker approval is needed.

Risk Assessment

  • Some events need a risk assessment.  
  • Click HERE to learn what types of events or activities need to be review by Risk Management and Safety.
  • If you do need a risk assessment, go to the BYU Risk Management website, click on the blue bar “Event Approval Request Form.”
  • In general, Risk Management and Safety requires two weeks to process Event requests. Some Events may take longer to process depending on the complexity of the Event.
