FAQ
Will I have access to electricity?
Electricity cannot be guaranteed. Please indicate your power requests in the accommodation section of your registration.
Can we distribute food?
Yes. We suggest pre-packaged food, candy, and snacks are preferred. Food trucks are not allowed. Please reference the BYU Approved Caterers if you plan to use a caterer.
Can I extend out past my table?
Your designated area is limited to the assigned table(s) and includes two chairs per table. Please keep activities and attractions within your designated area and be respectful of the neighboring organizations.
Can I rearrange the shape of my table(s)?
Due to limited space, tables must remain in their original positions.
How much room will I have behind my table?
This will depend on where you will be positioned and what you plan to have in your booth. Please indicate in your registration form of any requested accommodations.
What is the size of the table?
A 6- or 8-foot table will be provided.
Can I hang things behind my table?
It’s preferred to utilize any program/organization signage. Nothing can be taped to the walls.
Is there a max number of people that can man a booth?
No, but keep in mind your dedicated space is limited to the number of tables you reserved.
Are there restrictions on table decorations?
Yes, confetti, glitter, helium balloons, and candles are not allowed. For a more detailed list of permitted and prohibited items, please refer to the Tanner Building Use Policies.
Can I do a prize drawing?
Yes, you can have a prize drawing. Please make sure to follow any relevant regulations with BYU Purchasing. Ask your club advisor or your department admin for more information.
Can I bring animals to the event?
BYU generally does not permit animals on university property. However, BYU supports the use of assistance animals in compliance with state and federal laws and regulations. See the Animals on Campus Policy for more information.
Can I bring in an outside vendor?
Yes, outside vendors may be allowed. Please contact the Events Team before booking. Please note outside vendors cannot advertise or sell their products and services during this event.
Can I have my own music?
This is not recommended due to the expected number of participants.
What information am I allowed to collect from students?
Assuming the student(s) opt in, you may gather their netID and/or the students' email for your communication purposes.
Are there types of materials that I cannot distribute/give away?
Yes, certain materials may be restricted. Please refrain from distributing anything inappropriate or offensive. Contact your club advisor with questions. Follow the BYU Marriott brand guidelines for any branded swag.
What if I am unable to attend at the last minute? Can I leave items for students to take?
We prefer you personally man your table(s) to greet students and make them feel welcome. However, if you need to leave early as the event is coming to an end, you may leave items for students to take.
What are the instructions for tear down / clean up?
Tear down will be from 8-9:00 p.m. You are responsible for tearing down and anything left after 9 p.m. will be thrown away. Please clean up all supplies and leave the area better than you found it. You may leave your table up; Building Care will come around to put them away.
